Carousel Child Advocacy Center exists to protect children. Their team trains thousands of mandated reporters, law enforcement officers, and community members to recognize and respond to child abuse. But paper-based processes and disconnected systems were consuming the hours they needed for that mission.

Scottship Solutions partnered with Carousel to replace manual workflows with integrated technology. The results changed the trajectory of the organization.

The Challenge

Carousel’s small team was doing important work with outdated tools. Training certifications were tracked on paper. Data lived in spreadsheets that nobody trusted. Reports for stakeholders took days to compile manually.

Limited reach. Staff spent so much time on manual processes, printing certificates, entering attendance records by hand, filing paper forms, that they couldn’t scale training programs beyond Wilmington. Communities across North Carolina needed the same education, but the team didn’t have the bandwidth.

No data visibility. Training outcomes, participant feedback, and certification records were scattered across spreadsheets, paper files, and email threads. Pulling a report for a grant application meant hours of manual compilation, and the numbers were never reliable.

Communication gaps. With all available time consumed by administrative tasks, outreach to community partners and stakeholders suffered. The relationships that fueled Carousel’s growth were being neglected because there simply weren’t enough hours in the day.

“If people are educated, they know how to spot abuse. But we couldn’t reach the communities that needed us most because we were buried in paperwork.”

– Rebecca Martin, Director of Prevention, Carousel Center

The Solution

Scottship Solutions took a practical, phased approach. Rather than ripping out everything and starting over, we preserved Carousel’s existing workflows and layered technology on top. We built a Minimum Viable Product first to prove each new process before scaling it.

Centralized data storage. We consolidated Carousel’s scattered data sources into a single, unified data hub. One source of truth for certifications, training attendance, and partner communications. Staff no longer had to check three places to answer a simple question.

System automation. Every repetitive task got automated. Certificate generation, attendance tracking, report compilation, stakeholder notifications. Processes that used to take hours now happen automatically. The team’s week shifted from administrative busywork to strategic program delivery.

Ongoing technology support. New systems only work if someone maintains them. Scottship provides continuous IT support to keep Carousel’s technology running smoothly, troubleshoot issues quickly, and adapt systems as the organization grows.

The Results

The impact was immediate and measurable.

In the first year, Carousel certified 4,000 professionals. That number would have been impossible with paper-based processes. Automation saved over 750 hours of staff time, the equivalent of more than 15 hours every week redirected from paperwork to mission-critical work.

Key performance indicators grew fourfold. Not incrementally. Four times. The combination of reliable data, automated workflows, and freed-up staff time created a compounding effect that accelerated growth across every metric Carousel tracks.

The systems and processes Scottship built for Carousel are now being evaluated for statewide implementation across North Carolina. What started as a solution for one organization in Wilmington may soon serve child advocacy centers across the entire state.

“We went from drowning in paperwork to having the bandwidth to actually grow our programs. Scottship didn’t just fix our technology. They gave us our time back.”

– Rebecca Martin, Director of Prevention, Carousel Center

What Made This Work

This wasn’t a technology project. It was a capacity project. The technology was the tool, but the outcome was time. Three things made the difference:

We started with the workflow, not the software. Before recommending any tools, we mapped how Carousel’s team actually worked. The technology was designed to fit their processes, not the other way around.

We proved it before scaling it. The MVP approach meant Carousel could validate each automated process with real data before committing. No expensive failures. No wasted budget.

We stayed. Implementation without ongoing support is a recipe for decay. Scottship continues to maintain, optimize, and extend Carousel’s systems as the organization’s needs evolve.
